1. Job Description and Person Specification

Title: Personal Assistant to Project Manager

Salary: £20,500 pro rata

Hours:  16 – 24 hours per week (2-3 days) – may include some evenings and weekends, some travel may be required

Term: 1 year contract, subject to 3 months probation.

Reports to: Project Manager

Deadline for application: 18 September 2022

Interview Date: 26 September

Location: Hybrid (mainly WFH but some office attendance required)

 

2. Purpose of the post

The officer is responsible for all aspects of day-to-day administration for the Project manager. The Project Manager manages individually or as part of a management team, several projects including (but not solely):
• The annual Islamophobia Conference held every year in December
• IHRC Publications
• The Long View magazine
• Website Management
• Documentary Production
• Social Media for the above projects
• IHRC at EU
• IHRC at UN
• Research Department
• Fundraising

The role of PA will include support for the project manager across the various aspects of her work.

The successful applicant will show a good pre-existing knowledge of the above projects, as well as demonstrating they have or are able to acquire the various skills required to fulfil this post.

The successful applicant will have excellent organisational, timekeeping and people skills. They will additionally ideally also be conversant with basic webpage editing and mailing list management.

 

3. Background

IHRC is an independent, not-for-profit, campaign, research and advocacy organization based in London, UK. We foster links and work in partnership with different organizations from Muslim and non-Muslim backgrounds, to campaign for justice for all people regardless of their racial, confessional or political background. 4. Duties and Responsibilities

1.0. Personal Assistant

S / he will be responsible for:

1.1. checking emails and other forms of correspondence;
1.2. diarising and chasing deadlines;
1.3. liaising with other colleagues on behalf of the manager;
1.4. undertaking some proofing / drafting work;
1.5. some website editing;
1.6. mailing list management;
1.7. making travel arrangements;
1.8. helping to host meetings (including arranging / preparing refreshments);
1.9. other general administrative duties.

2. Other Duties:

2.1. To attend any internal meetings as requested
2.2. To attend relevant training and personal development opportunities in order to fulfil the requirements of the post.
2.3. To maintain strict confidentiality with respect to all matters, information and correspondence.
2.4. To adhere to all IHRC policies and procedures and assist the organisation in developing, implementing and monitoring them, including Equal Opportunities and Health & Safety policies
